The application process allows families to apply for a seat in a session. When an application is submitted, the student is placed on the waitlist. From there, staff can review and accept the student into the session.
Setting up an application process requires two steps.

Step 1: Set up a session with a waitlist
To begin using the application process, you first need to edit your session to accept applications rather than direct enrollments. This is done by turning the session into a waitlist.
Go to your Provider Dashboard.
Navigate to Program Setup > Programs.
Select the program, then click the session you want to set up with an application process.
Set the Seat Count to
0and click Save (this converts the session into a waitlist).
Step 2: Update the school to present the application process
Once the session is set up as a waitlist, you'll need to update the school's settings so parents see an Apply for a Seat option on the registration portal. This ensures families clearly understand they are submitting an application rather than enrolling directly.
Go to your District Dashboard.
Navigate to Basic Setup > My Schools.
Click the pencil icon next to the school.
Scroll to the bottom of the window and, under Present the waitlist feature to parent as, select Application Process.
Open the Registration Portal, find the session you updated, and confirm that you now see Apply for a Seat instead of Add to cart.
Your application process is now set up. Families can submit applications, and staff can review and accept students as needed.
Accepting Applications
Once families submit an application for a seat, staff can review it from the school or district dashboard:
Navigate to Rosters and Attendance > Session Rosters > Waitlist.
From here, staff have three options for each student on the waitlist:
Enroll the student directly into the session
Invite the student to join the session (recommended)
Remove the application if it is no longer valid
We recommend Invite because it sends an email to families, requesting that they complete the registration process (signing waivers, answering custom questions, etc.).
Family Experience
Families see available sessions and can choose which student to apply for. The screen shows session details (title, provider, age/grade fit) and provides an Apply for a Seat button to begin the application process.
Before finalizing, families review the session details. If a waiver or custom question is set to Ask this question before entry to a waitlist/lottery in the District Dashboard, families will complete those and sign electronically. They then click Save Student and Apply for a Seat to complete the application.
