6crickets offers a fast, consistent way to export evaluation-ready data for your ASES (After School Education & Safety) and 21st Century Community Learning Centers grant programs. Because the report includes only labeled sessions, accurate session labeling is essential before you generate the report.
For help creating labels, see How to create and edit session labels from dashboards.
Before You Begin
Attendance, enrollment, and session data are complete and accurate (missing data can lead to empty and inaccurate reports).
Step 1. Label Sessions for Reporting
Only sessions assigned a label will be included in the report (help article).
- Navigate to your dashboard.
- Assign one or more descriptive labels to each session to reflect how you want to group them in your report (e.g., After School Base, After School Sup—3hrs, ASES: After Base, etc.).
- Labels should match how you plan to segment your data in the report (columns, program types, etc.).
đź’ˇTip: Consistency in naming means easier filtering and fewer errors later.
Step 2. Generate the Report
- Go to Reporting > ASES, CALPADS reports
- Select report you need to generate: Semiannual attendance report or Annual outcome data for evaluation report
- Choose the reporting period and labeled sessions to include in their respective columns
- Click, "Generate report"
- The system will provide a CSV download containing your selected sessions’ data.
đź““ Notes:
- Do not select the same label for multiple columns in the report.
- For the annual report, in accordance with EC Sections 8483.1(a)(2)(B), we provide the option to count only those attendances in which a student participated for at least half of the daily before-school program hours, as verified by sign-in and sign-out timestamps.
- For the Semiannual attendance report, you can choose how attendance is credited:
- Session location – Attendance is counted toward the school where the session is held.
- Student’s home school – Attendance is credited to the student’s enrolled/home school, even if the session takes place at a different site.
Step 3. Download Supporting Reports for Audits
The Semiannual attendance report section offers three backup reports you can download alongside it, useful as supporting documentation if your data is ever audited.
- Daily records – one row per present attendance record, for substantiating attendance claims during audits. Click "Generate daily records" to download.
- Attendance by student – per-student attendance across the reporting period, grouped by the school it counts toward, with a present mark for each operation day. Click "Generate attendance by student" to download.
-
Attendance by school – per-school students served, with a monthly breakdown, a half-year total, and an all-schools total row. Click "Generate attendance by school" to download.
Each one has a column-descriptions link you can expand for a plain-language explanation of every column before you download.
Step 4. Import CSV into your Report Spreadsheet
- Now you can import the CSV into your sheet.
-
Verify that your session labels align correctly with your spreadsheet column headings and that the data looks complete.
Key Notes & Troubleshooting
Empty reports often indicate that:
- No sessions had labels applied
- Missing or misapplied labels
- Session or student data is missing
Solution: Relabel sessions or update student data if needed, then regenerate.
Missing State Student IDs:
- This is not imported into 6crickets.
Solutions
- We can add these to your reports if you provide us a sheet with two columns: one with the District ID and one with the Statewide Student ID
- Your IT department can add them based on the student’s District ID
- Ask your IT department to update the SIS sync to import State Student ID into 6crickets
