There are two settings in your district profile that define the session conflict policy: allowing overlapping enrichment programs and allowing overlapping extended care programs.
Within 6crickets, enrichment is defined as programs with subject-based curricula such as Photography, Chess, or Soccer. These typically meet once or twice a week for one to two hours.
Extended care refers to supervised homework, activities, and play as part of a Monday-to-Friday program that begins after the regular school day and runs until evening pickup.
A district's policy on allowing students to enroll in overlapping sessions can vary depending on different scenarios. For instance, while a student might not be permitted to enroll in overlapping enrichment programs, there could be situations where it is desirable to allow enrollment in the extended care program, even if it overlaps with enrichment programs.
Configuring the Policy
1. Navigate to the Session Conflict Policy page on the District Dashboard.
- From 6crickets homepage > Click "Districts & Schools" button > Click "My Dashboard" > "District Dashboard"
- From the District dashboard > Student registration setup > Session conflict policy
2. Update the answers to the following questions and save your updates.
-
Is a student allowed to register for overlapping sessions of enrichment programs in the district?
- Answering “No” will prevent a student from enrolling in overlapping enrichment sessions. All programs are considered enrichment unless they are explicitly set up as an extended care program.
-
Is a student allowed to register for overlapping sessions of extended care programs in the district?
- Answering “No” will prevent a student from enrolling in overlapping extended care sessions. Extended care programs need to be set up explicitly from the program settings, as indicated in the following section.
[Notes]
When a student tries to enroll in overlapping sessions, if one is an extended care program and the other is an enrichment program, they will see a warning about the overlap, but will always be given the option to ignore the warning.
The setting applies to future registrations. It doesn't invalidate existing rosters. For example, if a student registered for overlapping sessions while overlapping was allowed, and then the district disallows it, they will remain enrolled in their overlapping sessions.
Defining the Type of Program
By default, all programs are considered enrichment programs. You'd need to explicitly set up a program as an extended care program to apply the overlapping extended care policy defined above. To designate an extended care program:
1. Navigate to the Programs page on the Provider Dashboard.
- From 6crickets homepage > Click "Providers" button > Click "My Dashboard"
- From the provider dashboard or left menu > Program setup > Programs
2. Designate a program as extended care.
- Locate the program you'd like to set up as an extended care program > Click "Edit Program & Its Sessions"
- Scroll down to the bottom of the page > Answer "Yes" to the question "Is this an extended care program?" > Save.
If overlapping sessions are disallowed and a parent attempts to add a session that conflicts with another session in the student's schedule, the following message will be displayed.
If the parent proceeds anyway, they will see additional warnings in their shopping cart and will not be allowed to check out.
[Note] When overlapping sessions are disallowed, parents can still add their student to the waitlist for overlapping sessions. They will see a warning if they
- add a session that overlaps with a waitlisted session
- waitlist for a session that overlaps with an enrolled session
but will be allowed to continue to check out.
If a parent is invited to enroll in a waitlisted session that overlaps with a session already on their child’s schedule, they will be required to unenroll from the conflicting session before they can check out. (See the screenshot above.)
